Position: Account Clerk - Maintenance

 

Location: Department of Maintenance

 

Salary: The salary for this position will be based on EASMC-ESP salary schedule for twelve-month seven-hour employees – Range 15. ($42,569-$64,383)

 

Effective: March 2026

NATURE OF WORK:

This position involves specialized clerical responsibilities related to the compilation, verification, recording, and reporting of financial and other related data within the accounting system for the Division of Supporting Services, Maintenance Department. The role requires handling a wide range of accounting tasks which include data entry, report preparation and maintenance of asset certifications in accordance with state and local agencies. This position involves performing general clerical tasks with a strong emphasis on accurate fiscal activities and financial recordkeeping. The incumbent for this position must be highly proficient in Microsoft Office and Google Workspace, particularly in word processing, spreadsheets, and presentation creation. Experience in developing presentations, handouts, and slides is preferred. This work is performed under the general supervision of the Director of Maintenance.

  • Possess knowledge of the programs, policies, and procedures of the St. Mary’s County Public School System
  • Possess considerable knowledge of Microsoft Windows and Microsoft Office required with emphasis on Word, Excel, and PowerPoint
  • Possess considerable knowledge of Google Applications with emphasis on Google Docs, Google Sheets, Google Slides and Google Forms 

DUTIES AND RESPONSIBILITIES:

  • Prepares reports, letters, inventories, and presentations, and maintains files
  • Processes payments for the Maintenance Department, verifying prices, quantities, and signatures
  • Maintains financial records for department or operations, keeping totals for fund code balances
  • Enters financial data in computer to establish budgets, encumber expenditures, expend funds
  • Analyzes data from requisitions, invoices, time sheets, and other reports for accuracy and completion prior to processing; matches and verifies data; and reconciles bank statements to internal data
  • Communicates with vendors, budget holders, and others about payment of invoices and to communicate procedures
  • Notifies others of expenditures in accounts
  • Enters employee data into the computer for payroll purposes
  • Makes arithmetical computations rapidly and accurately
  • Reconciles monthly revenue report to budget and prepares monthly revenue status reports projecting remaining balance
  • Keeps accounts for department programs and processes purchase orders and invoices for payment
  • Assists in making improvements in internal accounting procedures
  • Assists with budget preparation and required state documentation
  • Maintains asset certifications in accordance with state and local agencies
  • Schedules appointments, arranges conferences and maintains calendar for the site administrator 
  • Prepares and distributes correspondence, bulletins, reports, newsletters, brochures, agendas, forms, etc. as required and maintains appropriate files
  • Performs other related and non-related job duties as assigned 

QUALIFICATIONS:

Required:

  • High school diploma or GED
  • Forty-eight (48) semester credits or two (2) years of relevant experience
  • Passing score on a proficiency exam conducted by SMCPS (applicants must establish proficiency prior to accepting employment)
  • Pursuant to the Federal Fair Credit Reporting Act and the Maryland Department of Labor and Licensing, a credit report or credit history for purpose of consideration of employment with St. Mary’s County Public Schools will be required in this fiduciary position

Preferred:

  • College-level courses in accounting
  • Experience working in a school system

TERM OF EMPLOYMENT:

Full-time twelve-month position.

 

SALARY GRADE RANGE:
